Walk-In Cold Room Not Holding Temperature? An Engineer's Diagnostic Guide

A walk-in that's drifting above temperature puts every bit of stock inside it at risk, and the clock starts the moment it climbs past 8°C. The good news: it's almost always one of four causes, and the first two you can rule in or out before an engineer arrives.

Quick answer

If a walk-in cold room won't hold temperature, check these four things in order:

  1. Door, seals and airflow — the everyday cause. A door left ajar, worn gaskets, missing strip curtains, or stock stacked against the evaporator all let the temperature climb.
  2. Iced-up evaporator or dirty condenser — restricted airflow at either end. A failed defrost ices the internal coil solid; dust and grease on the condenser starve the unit of cooling.
  3. Low refrigerant charge — usually an F-Gas leak. The unit runs constantly but never pulls temperature down. Engineer territory, and legally F-Gas work.
  4. Compressor, fan or controller fault — a failed condensing unit, a dead evaporator or condenser fan motor, or a faulty thermostat or controller.

What to do before calling an engineer

A few safe checks can rule out the simple causes and give the engineer a head start on the rest:

  • Check the door and seals — the door should close fully and the gasket seat all round with no gaps. Confirm the strip curtain is intact and nothing is propping the door open during service.
  • Clear the airflow inside — make sure boxes and stock aren't stacked against the evaporator (the fan unit inside the room). It needs clear air around it to circulate cold.
  • Look at the condenser — on the condensing unit, check the finned coil isn't clogged with dust or grease and that its fan is spinning. A blocked condenser is a common, preventable cause.
  • Check for ice — if the evaporator coil is frozen into a block of ice, the defrost has failed and airflow is choked. Note it for the engineer.
  • Note the detail — the actual air temperature against the setpoint, any alarm or fault code, and when it started. Check the log for the last F-Gas leak check and service.

⚠️Stop — protect the stock and call now

Act straight away, and call an engineer, if you have:

  • Temperature climbing toward 8°C with stock inside — move high-risk food to working refrigeration and log the temperatures. Above 8°C, chilled food is outside legal limits and a HACCP control point is breached.
  • A burning smell or the compressor short-cycling — clicking on and off every few seconds, or tripping the electrics. Power down at the isolator and do not restart it.
  • Heavy ice on the coil or floor — a slip risk and a sign airflow is fully choked.
  • A hiss or oily residue near the pipework — a possible refrigerant leak. This is F-Gas work and needs a registered engineer.
  • Water pooling on the floor — a blocked condensate drain or defrost fault, and a slip hazard while it's live.

Why is my walk-in cold room not getting cold enough?

Almost always one of four things: warm air getting in through a failing door or seal, restricted airflow from an iced-up evaporator or a dirty condenser, a low refrigerant charge from an F-Gas leak, or a failed component such as the compressor, a fan motor or the controller. The door and airflow causes you can check safely; the refrigerant and component faults are engineer jobs.

Can I fix a walk-in cold room temperature problem myself?

You can safely check the door and seals, clear stock away from the evaporator, and brush dust off an accessible condenser coil. Anything involving refrigerant, the compressor, electrical components or a failed defrost is engineer territory — refrigerant work is legally restricted to F-Gas registered engineers, and a misdiagnosis usually costs more downtime and more spoiled stock.

What temperature should a commercial walk-in fridge be?

For a chilled cold room, aim for 1–4°C. UK law requires high-risk chilled food to be held at or below 8°C, so anything drifting toward that figure needs acting on. A walk-in freezer should hold around -18°C. Keep a temperature log either way — it's your HACCP evidence.

Is a warm cold room a food safety risk?

Yes. Once high-risk chilled food goes above 8°C it's outside the legal limit under the Food Safety and Hygiene (England) Regulations, and a HACCP control point is breached. Move stock to working refrigeration, record the temperatures and times, and don't rely on a cold room that can't prove it's holding temperature.
