When you submit a form on the website
When you complete the Book an Engineer form, the Contact form or any other enquiry form, we collect the information you provide. This typically includes:

- To comply with safety, gas, and refrigerant regulations where applicable (legal basis: legal obligation)
- To improve our website and services through analytics (legal basis: consent, where required, via cookie banner)
We do not sell your personal data, and we do not use it for marketing without your consent.
Who we share your data with
We use a small number of trusted third-party services to operate our business. Personal data may be processed by these providers strictly on our behalf and only for the purposes described above:

Some of our service providers are based outside the UK. How long we keep your data
We retain personal data only for as long as we need it for the purposes set out above, in line with the following:
- Enquiry data (form submissions that did not become customers): up to 24 months from last contact, then deleted.
- Customer records, job histories and service records: 7 years after the end of the customer relationship, to meet UK accounting record-keeping requirements and to support warranty, regulatory and safety obligations.
- Accounting and financial records: 7 years (HMRC requirement under UK tax law).
- Website analytics data: as set by Google Analytics retention settings, currently 14 months.
- Email correspondence: retained as part of business records, typically up to 7 years, then archived or deleted.
Your rights
Under UK data protection law, you have the right to:
- Access — request a copy of the personal data we hold about you
- Rectification — ask us to correct inaccurate or incomplete data
- Erasure — ask us to delete your personal data (subject to limits where we must retain it for legal or regulatory reasons)
